Council Planning Meeting Schedule For The 2002 Fly-In

The last Council meeting before the fly-in was originally scheduled for August 17. It is necessary for us to change the date to AUGUST 10 at 10:00 AM at Dinwiddie County Airport. This will be a very important meeting so please make every effort to attend.

22 June 2002 Meeting Minutes

Council President, Ron Van Sickle, called the VAEAA Council meeting of 22 June 2002 to order promptly at 10:00 AM. This month's meeting was held at the Petersburg Airport in order to assess progress on field construction and obtain a better idea of what may or may not be possible during the Fly-in. A sign in sheet was circulated for those attending. Carrie Shedd, Council Secretary, reviewed minutes from the 23 March meeting; they were accepted with one change. Ron Van Sickle has applied for the DOAV grant instead of Bob O'Nell. Bob O'Nell, Council Treasurer gave a report that identified the Council's current balance. He also mentioned that the final report for the Council registration as a charitable organization is still pending. The Treasurer's report was accepted without change.

Announcements:

  1. Ron VanSickle announced that theCouncil has still not received their grant from the Virginia Dept. of Aviation (DOAV).
  2. President VanSickle solicited names of volunteers to man the regional fly-in tent at Oshkosh.
  3. Two of the four pedal planes that EAA Chapter 231 is building are ready for painting. The other two planes are about 50% complete.
Old Business:
  1. Ron requested three volunteers to audit the Council financial records. Ron Madsen, Berk Pleasants, and Frank Liberti will work with Bob O'Nell to accomplish this task.
  2. Judy Sparks reported that ExxonMobil and James River Equipment have committed to sponsoring the fly-in again this year; she has also been in contact with Pepsi and Petersburg Ford. Dave Ploeger mentioned that Outback Steakhouse might be a prospective sponsor. Judy will check on that option.
  3. Dave Ploeger reported on the construction progress at PTB. New roads are done except for striping. The service road is completed. The new terminal parking lot is done and the new terminal building is under construction. The ramp in front of the new terminal building is done except for installing tie-downs. The parallel taxiway construction is underway. PTB will be closed for 1 week from 7/31 to facilitate runway paving. After 1 week closure, runway 14-32 will befor traffic while 5-23 remains closed for paving. Expect paving to be completed by 20 Aug. There will be temporary markings during the fly-in, but the main runway should be done. The U/L field will most likely be dirt instead of grass. There are no unforeseen problems bridging the drainage ditch either through culverts or building a temporary bridge that must be removed post fly-in.
New Business:
  1. Prior to discussing new business the Council members walked/drove around the Petersburg airport.
  2. Following the walk about a review of anticipated requirements was held. Each committee chairperson present was given an opportunity to express concerns relative to their area. The following are highlights from those discussions:
    • Admissions: An admissions booth is needed at the maingate, the gate at the end of the T-hangars, and one at the road into theUltralight area. Two 10X10 shade tents are required.
    • Aircraft Parking: It was decided to have all aircraft land long and take the far turnoff and taxi to the ramp. There will be no intersection take-offs. One additional shade canopy is needed. Jerry Holsinger will check with the Petersburg Pilot's Association to see if they will be flying Young Eagles during the fly-in or just signing them up for future flights.
    • A/C Static Display: Can set up on14-32. If the car club comes they will have to arrive early and leave late.
    • Auto Parking: No foreseeable problems. Additional people are needed. Signage is needed on Rt. 1 and Rt. 460.
    • Campground: The "cut-through" is now closed. Campers must now go through the crushed up area of the road/runway
    • Ultralight Field: People flow control is needed to prevent non-donating customers from entering from the U/L side. Volunteers should be mailed a U/L parking pass. When checking in at the gate they will receive a map and any other credentials necessary.
    • Volunteers: A volunteer list will be posted at each gate. Volunteers will be mailed parking and admission passes if they sign up in time. A suggestion of a door prize for early volunteer registration was made. During discussion Ron Van Sickle mentioned that Jack Simons had received only 9 volunteer forms to date and urged council representatives to stress the need for volunteers at their monthly chapter and club meetings.
    • Web Page: Any information sent to Don Reid will be posted on the web site.
    • Fly-Mart: Don Reid said he would take items for sale on consignment. He will set up the Fly-Mart on Friday. Any one with heavy items to sell is required to have the items on site before 8:00 AM on Saturday morning.
    • Forums & Workshops: No anticipated problems. Wiring for welding is needed.
    • Pancake Breakfast: Elsie Benson has everything under control.
    • Signs: Ron Madsen is working on signs for the fly-in. A sign is needed for the Hospitality Tent.
    • Program Book: Carrie Shedd needs the vendor list, forum schedule, and logos by 15 August.
    • Photographer: Susan Luck will not be attending the fly-in this year. A replacement photographer is needed for both days.
    • Hospitality Tent: Some sort of nametag or wristband is needed for the air-show presenters and forum presenters.
    • Watersales: Volunteers are needed to sell water on Sunday.
  3. Tom Tyndall was tasked with reviewing the Aircraft Parking Manual to assess the necessary changes, have them incorporated, and copies made for distribution to the A/C parking volunteers.
  4. Ron VanSickle mentioned that Janet Sheridan is donating a GPS to the council, which may be used as a give away prize for a drawing to be held during the fly-in.
  5. Judy Sparks mentioned that Butch Walsh has agreed to present a tube and fabric forum and do aircraft judging during the fly-in.

Other areas of discussion did not identify any showstoppers. Council delegates were urged to try and bring sponsors onboard through their personal and professional contacts. The next council meeting is:
